Challenges: Since Cedars-Sinai Medical Center’s primary function is the care and well-being of its many patients, the health of its email system is often a secondary objective. However, circulation among its 12,500 mailboxes needs to be healthy and reliable to keep Cedars-Sinai’s medical care flowing to its patients, especially for the many doctors who have come to depend on the network’s email system to support their work, whether in the clinic or in the laboratory. After purchasing additional servers, setting up PST archives, and running an aggressive archiving campaign, James Brady, senior email administrator, and his team had solved very little. In addition, out of the 90,000 emails the hospital gets each day, half are estimated to be spam. The hospital tried to filter them out years earlier, but the effort was abandoned when too many false positives were created. Cedars-Sinai, along with many other health care organizations, has a very low tolerance for false positives, which are legitimate emails marked as spam.

"An influential departmental chair contacted me because he has lost all the emails from his sent folder from the last two years. He said he had a pressing deadline and needed to find an email fast. We sent a tech who searched the doctor's laptops and desktops and could not find the needed emails or a corresponding PST file. Then we had the doctor check Enterprise Vault. He found what he was looking for, met his deadline, and was extremely happy." "So were we. With his archived emails safely stored in his Enterprise Vault mailbox, it was a great relief to be able to search for and retrieve them so quickly."

Issues: As the hospital’s email system became more critical, symptoms of stress appeared that many of today’s corporate email administrators see in their own companies. Volume soared, and email databases swelled dangerously on their servers. As a result, performance levels suffered and the risk of a system crash increased tremendously. Cedars-Sinai decided something must be done. The email administration team created goals to reduce IT costs associated with soaring email use, minimize productivity loss due to spam, and guard against patient treatment errors due to incorrectly blocked emails.

“I'd sum up Enterprise Vault as the perfect sixth man on the bench. I'm a big basketball fan and Enterprise Vault comes in to play just when you need it most. It's really coming through for us.”
Summary: After deploying several open-source AntiSpam solutions with some initial success, Cedars-Sinai implemented Symantec’s Brightmail AntiSpam. The results were immediate and the accuracy was very encouraging. Many surveyed throughout the hospital reported the solution has virtually no false positives, and it has been estimated that Cedars-Sinai achieved 100 percent payback within the first eight months of use. In the end, Symantec Enterprise Vault and Brightmail AntiSpam software solutions have not only enabled Cedars-Sinai to achieve their goals by giving them greater control of email, but they have also given the medical center the ability to comply with a number of legal regulations and have saved an estimated $700,000 during the first year alone. But beyond cost and time savings, Cedars-Sinai’s use of the Symantec solutions have enabled the hospital’s caregivers to spend more time with patients and less time with paperwork. Together with Symantec, Cedars-Sinai has made significant progress in secure document management—creating a better environment for everyone involved.
